DDMS can import the data returned from the BACS service and synchronise your payers with the BACS report data.  This is one of the areas in which DDMS can be most useful to you when managing your Direct Debit payers.


For example, if a payer cancels the direct debit part way through the collection schedule, DDMS will read this from the BACS reports and update the Payer's record accordingly.  In this specific case DDMS will close the Payers account and raise an alert.  DDMS will close the payer's account in conformance with the BACS DirectDebit scheme rules.  This keeps your organisation in conformance with the important scheme rules.  An alert is raised to alert you, the user, that the payer cancelled their mandate.  You may want to contact them in order to set up a new mandate



Downloading BACS reports.


From within paygate click 'Collections' in the main menu then 'DDMS Manual Advice Download'.  This opens the DDMS Advice Download page.




Select the DDMS group that you wish to download report for.  Downloading reports is done on a group by group basis.  If you have two groups then you will need to follow this process twice, once for each group.  If you have a large number of groups you may wish to create an automated workflow to download the report automatically at periodic times.


Select the group from the Group Selector.



Click the Login button.  This will initiate a connection to the BACS reports service.  To connect successfully to BACS you will need a valid bank smartcard or a certificate loaded on the  HSM.




When you have successfully logged into the BACS report service the 'Download Reports' button appears.  You can log out of BACS at any point by clicking the 'Log Off' button.


Click Download Reports to begin the BACS reports Download Process.  DDMS will automatically scan the BACS reports service for reports matching the SUN (Service User Number) linked to the selected group.  The types of reports that are downloaded are those specific to the Direct Debit scheme:



If new reports are available, DDMS will download them and automatically read the contents and update your Payers accordingly.  At the end of the process a table of reports is displayed showing you which reports were downloaded and processed.  You can click the 'View report' link to view the report in your browser.




DDMS automatically logs out of BACS after the reports have been processed.  You can now safely navigate to another part of paygate.
